Located near Charlottesville, Virginia, Monticello was the 5,000-acre plantation home of Thomas Jefferson, author of the Declaration of Independence, third president of the United States and founder of the University of Virginia.

Solution
After a thorough needs assessment with the Integrity Data team, the Foundation selected and implemented five enhancements to Microsoft Dynamics® Payroll and Human Resources:

1. Comprehensive Leave Manager 
“Comprehensive Leave Manager is where we’ve realized the most significant time savings,” says Leigh Ann. “It allows our staff to view their available time off without having to calculate anything – and has eliminated calls to HR and Accounting for this information.”

“In addition, our Accounting department has saved nearly an entire day each pay period because of automatic PTO calculations. Before, we had to download the information into a spreadsheet, run a payroll inquiry, add accrual to their prior PTO balance, and then subtract the hours they took during that pay period.” 

“Plus, with each pay period, our HR department was spending at least 30 minutes checking the timecards of every employee approved for intermittent FMLA so they could accurately record leave. Having separate pay codes for FMLA that are not associated with pay, but merely track the time, is very beneficial to both the employee and HR.”  

Extensions For Microsoft Dynamics2.   E-Mail Earnings Statements 
“Once implemented, E-Mail Earnings Statements will give employees access to their pay history even after they have left employment with the Foundation. Currently, when an employee requests a copy of a past pay stub, it means HR has to extract individual pages from PDF files of Foundation-wide direct deposits. Depending on how much history the employee needs, the requests can take as much as 30 minutes each.” 

3. Enhanced Retirement Plans
“The Foundation has seen no less than two hours of time savings per enrollment period because of the reduction in data entry and correction of errors.  Additionally, unlike before this module, the end user is now able to enroll for their retirement plan using Business Portal, which is where everything else for Foundation employee benefit enrollment takes place.” 

  
4. Mid Pay Period Rate Changes 
“For each mid-pay period pay change, or start date for a salaried employee that is not at the beginning of a pay period, we have a lot of coordination on which pay code needs to be left in place in Microsoft Dynamics® GP, and which one should be manually keyed. Particularly in the case of salaried employees, it could be understandably easy to miss the off-pay period dates and mistakenly issue a paycheck for the full two-week pay period. So we are looking forward to when this module is fully implemented.”

5. Overtime Hours Rules 
“Overtime Hours Rules has been a huge time saver for us,” says Leigh Ann.  “Not only did it reduce entry time for employees, it also reduced the number of incidences of rejected or resubmitted timecards, which reduced the amount of time we had to spend tracking employees down letting them know they need to make a correction. It has also reduced the time we spend manually entering paper timesheets, and time in tracking down supervisors to find out and correct ‘in process’ timecards that are past submission to payroll deadline.”
